Data controller
ResumeNivo is an online resume-building and ATS-analysis service operated by Arun Jose, an individual trading under the ResumeNivo brand from Kerala, India.
For personal data processed directly by ResumeNivo, Arun Jose is the data controller.
1. Information we collect
We collect information you provide or generate while using ResumeNivo, including:
- Google authentication details such as name, email address, Google account identifier, and profile image.
- Account, career-profile, and resume information, including contact details, employment, education, skills, projects, certifications, languages, and profile photographs.
- Uploaded-resume metadata and extracted information, job descriptions, ATS results, and accepted, rejected, or edited suggestions.
- Credit balances and activity, and Paddle purchase or transaction references. ResumeNivo does not store complete payment-card details.
- Support communications, login timestamps, device or browser information, cookies, authentication tokens, and operational or security logs.
- When login-location analytics is enabled, approximate country and region. ResumeNivo does not store the customer IP address used for this location lookup.
2. How we use information
We use information to authenticate and secure accounts; create, edit, store, preview, and export resumes; initialize resumes from career profiles; compare resumes with job descriptions; provide ATS feedback; administer credits and payments; respond to support requests; prevent misuse; troubleshoot errors; and improve reliability and usability.
3. Legal grounds and choices
Where applicable law requires a legal basis, we process information to perform our contract with you, pursue legitimate interests in operating and securing the service, comply with legal obligations, or act with your consent. Optional information can be declined, but some features may then be unavailable.
4. Authentication, resume import, AI, and providers
Google processes authentication. Uploaded PDF or DOCX files are received in memory for extraction; the original binary file is not saved to ResumeNivo object storage. ResumeNivo retains limited import metadata, including the sanitized filename, file type, size, and file hash. Extracted information may be saved to your career profile after review so you can continue editing it.
When you request an AI-powered import or Advanced ATS feature, extracted resume information, resume content, career-profile information, or a submitted job description may be sent to OpenAI, the currently configured AI provider. Viewing a resume alone does not initiate AI processing. Optional text recognition may use Amazon Textract when enabled.
Providers may process data on our behalf for hosting, databases, infrastructure, monitoring, and payments. Paddle processes payments, receipts, applicable taxes, and approved refunds. ResumeNivo does not sell resume content or job descriptions.
5. Cookies, retention, and deletion
ResumeNivo uses authentication cookies and tokens to keep accounts signed in and secure. We retain account, resume, purchase, and operational information while needed to provide the service, maintain security and backups, resolve disputes, enforce agreements, and meet legal obligations. No single fixed retention period applies to every category.
Country and region analytics are used for security, service analysis, and aggregated business insights. You can delete individual resumes and contact us to request account deletion. Some records may be retained where legally or operationally necessary, and backup copies may remain until overwritten.
6. Security
We use reasonable administrative, technical, and organizational safeguards intended to protect information. No internet service or storage system can guarantee perfect security.
7. International processing
Information may be processed in countries other than your own. Where required, appropriate measures are used for cross-border processing.
8. Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of certain information, and to withdraw consent. We may need to verify your identity.
9. Policy updates
We may update this policy as the service or legal requirements change. The revised version will show a new effective date, with additional notice when appropriate.
